Privacy Policy

This policy explains what personal information Systemscollab (Pty) Ltd (“SystemsCollab”, “we”, “us”), a company registered in South Africa, collects through this website and the client portal, and how we use it. We process personal information in accordance with South Africa's Protection of Personal Information Act (POPIA).

1. What we collect

We collect information you give us directly:

  • Free mockup requests — your website address and email address.
  • Client portal accounts — your email address (for magic-link sign-in), and, if you fill in your profile, business name, contact name, phone number, website domain, and mailing address.
  • Support tickets — whatever you write in a ticket's subject and description, which may include details about your business or website.
  • Billing — if you take up hosting/maintenance, payment is handled by our payment processor, PayPal; we do not collect or store your card or bank details ourselves.

2. How we use it

We use this information to:

  • build and send you the free mockup you requested;
  • let you sign in to and use the client portal;
  • respond to support tickets and make the changes you approve;
  • send you operational email (sign-in links, ticket updates), and, where you have taken up a paid plan, billing-related communication;
  • process payment for hosting/maintenance via PayPal, where applicable.

We do not sell your personal information.

3. Who we share it with

We share information with service providers who help us run SystemsCollab, and only to the extent needed for them to do so:

  • our email provider, to send sign-in links and notifications;
  • our internal pipeline that turns approved mockup requests and tickets into actual website changes — this is our own system, not a third party;
  • PayPal, for processing payment if you take up a paid plan;
  • your own website host/GitHub repository, where the change you requested is committed, if you are already a hosting client.

4. How long we keep it

We keep account and ticket information for as long as your account is active, and for a reasonable period after in case you return or for our own record-keeping obligations. A mockup request that never becomes an account is kept only as long as needed to build and deliver the mockup and follow up with you about it.

5. Cookies

The client portal sets a single session cookie to keep you signed in after you use a magic link. It's required for the portal to work and isn't used for advertising or tracking. The marketing pages of this site (home, services, pricing, about) don't set cookies.

6. Your rights

Under POPIA, you can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it (subject to what we need to keep for legitimate business or legal reasons). To do any of these, email us at the address below.

7. Security

We take reasonable technical measures to protect the information we hold, including encrypting traffic to this site and the client portal, and using single-use, time-limited sign-in links instead of passwords.

8. Changes to this policy

We may update this policy from time to time. We'll update the date at the top of this page when we do.
